MATCOR is seeking an organized team player to join our team.  The ideal candidate will have a strong administrative support background preferably with a knowledge of contracts and contract administration.  The individual must have great attention to detail, the ability to multi-task and a can-do attitude.  This position requires an individual who is independent and has a sense of responsibility for the facility and can ensure that the office environment is optimized through functioning technology and equipment. Critical Responsibilities


  • Basic contract administration and maintenance for customers, vendors and subcontractors
  • Maintain records and filings for patents and trademarks
  • Oversee phone and security system administration; IT liaison including network backup process 
  • Update, renew and apply for contractor's licensing in different states
  • Facility/lease and travel administration 
  • Coordination for company meetings, lunches, and other events
  • Assist with marketing coordination and planning for trade shows and mailings



Essential Functions: 


  • Supports the administration of company contracts including review, tracking, filing and retrieval
  • Manage office facility including vendors, emergency management (which may require off hour support) and daily tasks to create conducive work environment
  • Work with outside vendors including but not limited to landlord, cleaning, energy, shredding & records retention and coordinating maintenance and repair issues for office equipment
  • Prepare Powerpoint presentations and reports as required by management 
  • Schedule and arrange meetings
  • Prepare and revise correspondence
  • Maintain records and data unique to department managers 
  • Schedule appointments, book travel, lodging and events for management and work closely with our travel agency 
  • Organize refreshments and communication for meetings and welcome visitors to the facility
  • Routine daily duties of typing, filing, opening mail and answering phones
  • Assist Accounts Payable with invoicing and other accounting functions (bank deposits, annual tax filings and expense report for management)  
  • Coordinate all charity, office gatherings and events
  • Communication with IT and telephone vendor, coordinating and assisting with telephone and IT supplies, Webex set up for meetings, complete disk backups, and general IT and phone (cell and landlines) and security issues 
  • Manage and obtain registration documents for company vehicles as necessary; general insurance administration 
  • Manages and orders supplies (pantry, janitorial and facilities) 
  • Maintains office keys, copy machine, postage meter, mailings and general office equipment 
  • Office and equipment preparation for new hires  
  • Special projects as assigned



Minimum Qualifications

  • College degree or some post high school course work desirable
  • Requires a minimum of 5 years experience in office administration
  • Knowledge of contract administration preferred
  • Strong proficiency with Microsoft Excel, Word, PowerPoint, Outlook and the ability /knowledge to research the Web
  • Knowledge of CRM (such as systems a plus
  • Familiarity with general office procedures and equipment
  • Very strong organizational skills 
  • Attention to detail to complete tasks in a timely and accurate manner
  • Strong communication skills are required to interact with internal department members and outside vendors
  • Works well under pressure and is able to multi-task
